Data Entry Staff - Welcome!
Data entry staff are critical to the accurate reporting of the nutrition education efforts conducted at the county level. Data entry staff's attention to detail and commitment to quality, ensures the evaluation of the FNEC programs is reflective of the information collected from and on program participants.
The County Reporting System (CRS5)
The County Reporting System is a computer software program designed to capture the program efforts within the county. The CRS5 is used to input information related to adult enrollment, youth education, staff efforts, and community collaborations. As the primary representative of the CRS5 system within your county, it is critical to review the information provided below and proceed as defined. The software is supported by the CRS5 Manual. Please review this manual for specific instructions on use and troubleshooting within the system. Also, become familiar with the FNEC Policy and Procedure Manual - section 500, which addresses data management.
Access to the Data
As you will be exposed to sensitive, confidential information regarding program participants and staff, it is required that you take and pass the Cornell University Human Subjects tutorial. This tutorial and complementing assessment of knowledge, is provided online at Cornell University's Office of Integrity and Assurance. Once this has been completed, please forward the results, forwarded from the program to your email address, to us at fnec-admin@cornell.edu.
Forms and Entry
The forms are used by frontline nutrition education staff to collect and report information regarding their activities. As a data entry staff person, you will need to be familiar with all of the forms and the way in which they will need to be entered into the CRS5 system.
Keeping Notified of Updates
A special email list has been developed such that direct communication can occur between campus and county data entry staff, as well as between data entry staff within the counties. Please send an email to fnec-admin@cornell.edu requesting to be added to the CRS5 data entry list serve.
The Reporting Schedule
CRS5 Databases are submitted to Cornell University on the 10th day of the month following the end of the quarter. Within nutrition education programming, the quarters are defined as:
- October 1, 20XX - December 31, 20XX
- January 1, 20X1 - March 31, 20X1
- April 1, 20X1 - June 30, 20X1
- July 1, 20X1 - September 30, 20X1
Therefore, quarterly CRS5 submissions occur January 10th, April 10th, July 10th, and October 10th.
Report Submission Process
The CRS5 database submission process is:
- Ensure all data is entered for the quarter/year.
- Review instructions for submitting data
- Submit the data, each database into which information is entered must be submitted separately.
- Review feedback from campus and make necessary corrections.
- Resubmit data.
- Review feedback, discuss with campus any outstanding issues, make final corrections.
- Resubmit data, if requested.
Perform all necessary data entry. Once data has been submitted, it will be reviewed for quality. Once reviewed, campus will provide feedback to you, such that corrections can be made within the CRS5 database. Once all corrections have been made, the data must be resubmitted. For the October 10th submission, new data should not be entered into the system until you have received a written email from campus indicating that your database has been accepted as complete and the new year can be established. The year-end database will not be accepted until all errors have been fixed and/or all concerns addressed.
